The Student Support Services Assistant executes the administrative and student support functions of Kerala Ayurveda Academy, ensuring an organized and efficient environment that enhances the student experience. This role responds to student inquiries, organizes academy records, coordinates class logistics, and supports Academy team members, helping maintain a high-quality education program.
Qualifications
- Associate’s degree or equivalent required; a Bachelor’s degree is preferred.
- Minimum 2 years of experience in an administrative role, ideally in an educational setting.
- High proficiency in Microsoft Office (Word, PowerPoint, Excel), G Suite (Gmail, Google Calendar, Slides, Docs, Sheets), and CRM or other admin software.
- U.S. citizen.
- Local to Milpitas, CA and able to work in our Academy and Wellness Center.

Responsibilities
- Customer Service & Communication: Provide support to students via phone, email, and in-person inquiries, addressing questions and concerns promptly.
- Record Maintenance: Assist with the maintenance of academy records and student files
- Internal Coordination: Assist with internal communications, scheduling, and meeting preparation, coordinating between departments as needed.
- Compliance: Organize data for state compliance and generate reports to track student progress.
- Data Management: Organize student enrollment, sabbaticals, withdrawals and refunds.
- Event & Class Support: Provide logistical support for events and classes, including team communications, documentation, and facility preparation.
- Material Management: Help maintain and procure student resources such as syllabi, catalogs, schedules, manuals, and digital materials in collaboration with other departments and outside vendors.
- Student Support: Execute student material requests, certificates, and shipping, and provide general guidance to enhance student experience.
- Payment Processing: Process student payments and ensure updates in tracking systems.
- Attendance & Document Management: Maintain attendance records and other compliance-related materials.
- Class Coordination: Assist in supervising weekend classes, internships, and workshops, managing purchasing and preparation needs.
- Other duties as assigned.
